How to read your Etsy P&L
Your monthly profit & loss starts with gross revenue — the total you collected from buyers. From that, Etsy takes three fee categories before a single dollar hits your bank account: a 6.5% transaction fee on every sale, a 3% + $0.25 payment processing fee per order, and a $0.20 listing renewal fee per item sold. If any sales came through Offsite Ads, an additional 15% is deducted on those orders.
After Etsy fees, your remaining costs are COGS (what you paid Printify, your supplier, or spent on materials), shipping (if you offer free shipping and absorb the carrier cost), and any Etsy Ads budget you spent. What's left is your net profit — the amount that belongs to you before income taxes.
Etsy fees are higher than most sellers realise
The combined Etsy fee rate (no Offsite Ads) on a typical $20 sale is about 12.5%: 6.5% transaction + 3% + $0.25 processing + $0.20 listing renewal. Sellers who only know the "6.5%" transaction rate are consistently surprised by their lower-than-expected payouts. Shipping strategy directly impacts profit
Free shipping means you embed the carrier cost into your item price — which Etsy's algorithm slightly favours. But if your average shipping cost is $5 and your margin is 30%, adding $5 to your price to go free makes sense only if the conversion rate improvement offset the price increase. Frequently asked questions
What does "COGS" mean and how do I find mine?
COGS stands for Cost of Goods Sold — the direct cost to produce or purchase each item you sell. For POD sellers this is the base print price you pay (e.g. Printify charges you $8.50 per mug). For handmade sellers it's your materials cost per unit. Divide your total monthly materials/print bill by the number of items sold that month to get your average COGS. Do not include Etsy fees in COGS — this calculator adds those separately.
Should I choose "free shipping" or "buyer-pays" in this calculator?
Choose "free shipping" if you build shipping into your item price and absorb the carrier cost yourself (the most common POD and Etsy best-practice approach, since free-shipping listings rank slightly better in Etsy search). The calculator then deducts your actual per-order shipping outflow from profit. Choose "buyer-pays" if the customer pays for shipping at checkout — you collect that amount from them and pass it to the carrier at roughly break-even, so it doesn't materially affect your product profit margin.
Does this calculator include the $0.20 Etsy listing fee?
Yes — the "listing renewal" line in the P&L breakdown charges $0.20 for every sale. When a single-quantity listing sells, Etsy auto-renews it for $0.20 so you can keep selling. This is separate from the every-4-months time-based renewal fee (which this tool does not include, as it depends on your total active listing count rather than your sale volume). What is Offsite Ads and when does the 15% fee apply?
Etsy's Offsite Ads program syndicates your listings to Google, Facebook, Pinterest, and other platforms. If a buyer clicks one of those ads and purchases within 30 days, Etsy charges you 15% of the order total (or 12% for shops with $10K+ in annual revenue). How is Etsy's payment processing fee calculated?
Etsy charges 3% of the sale price plus a flat $0.25 per transaction for payment processing (US sellers, verified June 2026). On a $25 sale, that's $0.75 + $0.25 = $1.00. The fixed $0.25 per order is why processing fees eat a higher percentage of low-price items — on a $5 item the fixed fee alone is 5% of revenue before the percentage.
How often should I run this P&L calculation?
Monthly is ideal — after Etsy pays out and you have your final order count. Pull your "Orders" count from Etsy Shop Manager → Dashboard, your average order value from Stats, and your monthly POD print bill or materials invoice. Running it monthly helps you catch margin compression early: rising COGS, rising ad spend, or an increase in Offsite Ads attribution can all quietly erode profit even when revenue is growing. For tax purposes, track this monthly P&L total against your Etsy 1099-K (US) to reconcile gross vs net.
Why is my net margin lower than I expected?
The three most common culprits: (1) Etsy fees are often underestimated — the combined transaction + payment + listing fee is ~10–12% of revenue before any ad fees; (2) COGS creep — POD base prices rise with inflation; (3) Shipping cost is being absorbed (free shipping) but wasn't factored into the item price.
